General description:

The above position will be responsible for managing the accounts and administration for the IZS. The incumbent will provide assistance to all staff members of the IZS and support those from the IZS-Host Ministry of Minerals, Energy and Water Resources (MMEWR), through efficient accounting and book keeping and administration practice. The operations of this position will be guided by the prevailing Finance and Administration Manuals of the IZS.

Job description:

Accounting Duties

1.

      
Implement sound accounting and financial systems.

2.       Maintain and update IZS accounting records.

3.       Prepare regular financial reports, as required.

4.       Process all payments to suppliers of goods and services provided to the IZS, ensuring timeliness and accuracy of codes, and provide follow up to clients.

5.       Liaise with the bankers on all aspects, vis-à-vis related to cash and cheque transactions or as the case may be.

6.       Reconcile regular invoice sub-ledger control accounts, mainly on a monthly basis.

7.       Process all manual cheques ensuring appropriate backup and follow up.

  1. Maintain a monthly and yearly timetable for the Accounts Office.
     9.  Perform all such other accounting functions as the Executive       Secretary may from time to time assign.

    10.      

    Provide administrative support to the Interim Secretariat.

    a.       Book appointments, organize and schedule meetings for the IZS staff.

    b.      Maintain the administration record of all contracts for the IZS.

    c.       Maintain file system and procedure manuals.

    d.      Attend internal administrative meetings, take and distribute minutes.

    e.      Sort, record and distribute all incoming and out-going mail including official emails sent to the officer and other correspondence.

    f.        Maintain vacation and sick time records for IZS staff.

    Job requirements:

           Diploma in Business Administration or Office Administration and experience in a

    computerised environment

           Proficiency with various computer software products

           Proficiency in accounting packages

           Strong organizational skills

           Strong interpersonal and communication skills.

    Performance Competencies and Criteria:

            Should strongly exercise confidentiality ability with all payroll, accounting and budget information

           Should perform accounting functions accurately and timely

           Should maintain files on a timely basis and in accordance with IZS records management system

           Should deal effectively with the IZS staff and the stakeholders including Riparian States with whom the officer will interact during meetings

           Should effectively prioritize and organize workload

           Should be smart, politely and diligent
